ENTRY PROCEDURE

COACHES - PLEASE HONOR THE FOLLOWING DEADLINES!

TEAM ROSTERS ARE DUE BY FRIDAY, SEPTEMBER 12, 2008

YOU MUST SEND A TEAM ROSTER USING HY-TEK TEAM MANAGER BY FRIDAY, SEPTEMBER 12.  THIS ACTION CONFIRMS YOUR INTENT TO COMPETE IN THE MEET AND IF YOU MISS THIS DEADLINE YOUR TEAM WILL NOT BE ALLOWED TO ENTER THE MEET.

Each athlete will receive a chest bib that has their name and school on it.  We have a new FinishLynx camera that reads bibs as part of the athlete identification process at the finish so all athletes must have one of these bibs.  I need to e-mail the athlete's names to the number printing company three weeks before the meet to get them back in time.  I do not need their predicted 5K time (that information is due later).  Please make sure that the first letter of athlete's first and last name are capitalized (not all caps or all lower case).  E-mail the roster file as an attachment to Glendon Rand at runsub5@verizon.net .  Rosters will be posted on this website for review on September 13 so that you can verify that all of your athletes are included.

Instructions for how to export a roster using Team Manager:

  1. If you have not done so already, create a new database and enter in your school information and your athlete names. For school information, all you need is your team (school) name and a 2-4 letter code (school abbreviation). For athlete information, all you need is first name, last name, sex, and grade.  PLEASE MAKE SURE THAT THE GRADES ARE CORRECT!  All other information is optional.

  2. In Team Manager go to FILE - EXPORT - ATHLETES/TEAMS.  Choose a directory to export the file to and click on OK.  A file named something like BRW-Roster001 will be created.  Send this file as an attachment to runsub5@verizon.net      

E-MAIL TEAM MANAGER MEET ENTRIES WITH SEED MARKS AND SEND MEET ENTRY FEE BY FRIDAY, SEPTEMBER 26, 2008

Checks should be made payable to Brewer High School.  Mail checks to: Glendon Rand, Brewer High School, 79 Parkway South, Brewer, ME 04412.  Please include an athlete roster with your check.

Instructions for how to export meet entries using Team Manager:

ALL SCHOOLS MUST USE THIS PROCEDURE.  All schools in Maine that sponsor cross country, indoor track or spring track are required by the MPA to have this program, so you may want to check with your track coach or athletic director. 

  1. If you have not done so already, create a new database and enter in your school information and your athlete names. For school information, all you need is your team (school) name and a 2-4 letter code (school abbreviation). For athlete information, all you need is first name, last name, sex, and grade.  PLEASE MAKE SURE THAT THE GRADES ARE CORRECT!  All other information is optional.
  2. Next you need to download the Meet Events file by clicking here.  SAVE the file somewhere on your computer where you will be able to find it (do not try to OPEN the file). If you have trouble downloading the file, send an e-mail to Glendon Rand and he will send you the file as an e-mail attachment. Then start up Team Manager. In the file menu, choose FILE - IMPORT - MEET EVENTS. The program will ask you where to look for the file. "Look In" the place where you saved the file. Click on the file to select it and click on Open. It will tell you that it is going to unzip the file to the TFTMTemp folder. Click on OK.  Select the file by clicking on it and click on Open.  When you click on OK it should say Events Imported: 2. Click on OK again and you are done! Event #1 is the girls 5K and Event #2 is the boys 5K.
  3. Now, if you click on MEETS on the Menu Bar it should list a meet named 2008 Maine XC Festival of Champions. Go to the menu bar and click on EVENTS and you should see the 2 events.
  4. Now you need to enter your athletes in the correct event. In the MEETS window, click on the meet name to highlight it. Click on ENTRIES BY NAME. Your team roster should be at the top, and the meet events at the bottom. Click on an athlete’s name to highlight it. Enter the athlete's predicted 5K time in the custom mark box. When you are done, go to MEETS - ENTRIES - ENTRY BROWSER to review your seeds for the meet.
  5. After you have entered all of your athletes into their event, you need to export the entries and e-mail them to Glendon Rand.  This can be done several ways, here is one. From the main Team Manager screen, click on MEETS. Make sure that the meet you want to send is highlighted, and click on ENTRIES - ENTRY BROWSER. Now would be a good time to check your entries one more time to make sure that they are correct. In the upper left, click on EXPORT ENTRIES. Note that the file is going to be saved to a folder on your hard drive called TFTMwinData. Make sure that the right meet is displayed in the drop down box.  Click on OK. Start up your e-mail program, address an e-mail to Glendon Rand, and attach the meet entry file (it will be in the TFTMwinData folder and should be named something like BRW-Entries001.ZIP). Please include your name, school, school phone number, and home phone number in the body of the e-mail.  Hit send and you will receive a confirmation when the file is received.
